*About the Role* We are seeking a proactive and detail-oriented Operation Assistant to support our maritime and shipping operations. The successful candidate will be responsible for coordinating day-to-day port agency activities, vessel ownership management, and the smooth execution of vessel arrivals and departures. This role requires basic Accounting and book keeping procedures, strong coordination skills, a sound understanding of port formalities, and the ability to deal effectively with port authorities, agents, and service providers. *Key Responsibilities* *Port Agency & Vessel Operations* * Coordinate vessel arrivals and departures, ensuring all schedules are aligned with port and terminal capacity. * Liaise with port authorities and other port service providers to ensure safe and efficient vessel turnaround. * Prepare, review, and submit required vessel documentation and port formalities in a timely and compliant manner. *Vessel Ownership Management* * Assist in the management and overview of vessel ownership-related activities, including monitoring vessel status, registrations, and compliance matters. * Maintain accurate and up-to-date records of owned and managed vessels. *Communication & Coordination* * Act as a key point of contact between the company, shipmasters/crews, port authorities, agents, and service providers. * Ensure clear and timely communication of operational updates to all stakeholders. *Documentation & Compliance* * Handle crew-related requirements, including crew changes, visas, medicals, and immigration formalities. * Ensure all documentation complies with local regulations and international maritime conventions. *Monitoring & Problem Solving* * Monitor ongoing operations and proactively identify potential issues or delays. * Troubleshoot operational problems promptly, implementing effective solutions to minimize disruption. * Escalate complex issues to the Operations Manager as necessary. *General* * Maintain accurate operational logs, records, and reporting. * Support the operations team with day-to-day administrative and coordination tasks as required. *Qualifications & Requirements* *Education* * Bachelor's degree in Commerce and experience in Maritime activities, Shipping services, Logistics, Administration, and Basics of Accounting. * Relevant certifications in maritime operations are an advantage. *Experience* * 1–3 years of experience in shipping, maritime operations, port agency, or logistics. * Familiarity with port agency operations and port formalities is preferred. *Skills & Competencies* * Strong understanding of vessel operations, arrivals/departures, and port procedures. * Excellent communication and interpersonal skills for dealing with authorities, agents, and crew. * Strong organizational and record-keeping abilities. * Analytical mindset with strong problem-solving skills. * Ability to work under pressure and adapt to dynamic operational environments. * Proficiency in MS Office; familiarity with Zoho accounting and operational software is a plus. *Other Requirements* * Willingness to work flexible hours, including weekends and holidays when vessel movements require it. * Valid driver's license and ability to travel to port locations as needed. Pay: AED1,861.09 - AED4,413.54 per month Work Location: In person
