Position Overview
The Executive Secretary I position is an integral part of the facility administrative team. We are looking for an energetic, self-motivated administrative secretary who will assist with conducting special projects, gathering data for reports, confer with other government office representatives and the general public concerning rules, regulations and procedures. Essential Functions
- Serves as an administrative secretary for the Office of Mental Health Management Services’ Mental Health Services Quality Improvement Manager.
- Keyboards, creates, and edits professional reports for the Quality Improvement Manager which involves specialized medical terminology.
- Represents the Quality Improvement Manager through routine oral and written contact with other government officials, psychiatric and health professionals, and the public.
- Receives, sorts, opens, reads and distributes mail and other incoming correspondence.
- Maintains files.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill, and mental development equivalent to completion of two (2) years of secretarial or business college AND one (1) year of secretarial experience, OR completion of high school AND three (3) years of secretarial experience.
- Requires the ability to keyboard accurately at 55 words per minute.
**Qualifying state employees in the employee Upward Mobility Program may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.
Preferred Qualifications
- Prefers at least two (2) years of professional experience implementing bookkeeping and budgetary principles and practices.
- Prefers at least two (2) years of professional experience applying principles of office management.
- Prefers at least two (2) years of professional experience working with and maintaining confidential information.
- Prefers at least two (2) years of professional experience responding verbally and in writing to external and internal inquiries.
- Prefers at least two (2) years of professional experience establishing and developing written instructions and procedures.
- Prefers at least two (2) years of professional experience interpreting and applying statistical analysis.
- Prefers at least two (2) years of professional experience utilizing Microsoft Word, Excel, and Outlook, or similar software.
Conditions of Employment
- Requires ability to pass the IDOC/IDJJ background check.
- Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.

- Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.
