Pay: 20-30/hr

Must Haves:

  • 2–5 years of administrative experience required
  • Minimum HS diploma required
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with SAP Ariba or similar procurement systems is a plus
  • Ability to use SharePoint Online, eMaintenance, and other web-based tools
  • High emotional intelligence; proactive and organized
  • Strong customer service and communication skills across all levels
  • Able to make decisions and work effectively in ambiguous situations
  • Team-oriented, flexible, and dependable

Preferred:

  • Bachelor's degree preferred; open to new grads
  • Experience in customer-facing or office coordination roles preferred

Responsibilities:

The Administrative Support Specialist acts as the first point of contact for guests, employees, and vendors — ensuring a professional and welcoming environment.

  • Serve as the face of the offices; assist guests, employees, and visitors with a service-first mindset
  • Direct visitors and expats appropriately and manage check-in procedures
  • Monitor and act on Field Office Administrator (FOA) requests via the PDX Work Order System (eMaint)
  • Maintain a clean, organized, and functional office environment
  • Manage incoming/outgoing mail and deliveries
  • Coordinate with vendors and contractors (security, janitorial, IT, vending, property management, etc.)
  • Create and track purchase orders in Ariba; resolve issues proactively
  • Support cross-functional teams including IT, Finance, Facilities, Legal, and HR
  • Maintain calendars, schedule meetings, and coordinate conference room bookings
  • Support onboarding/offboarding processes and office events
  • Continuously identify and implement process improvements

Field Work / Physical Requirements

  • Ability to lift 33 lbs+ with a two-person lift
  • Set up conference/training rooms, IT equipment, and gown rooms
  • Drive pool vans (valid license and good driving record required)
  • Support facilities with physical setup, staging, and warehouse functions (e.g., forklift certification, pallet handling, crating/uncrating)
