Job Title:Administrative Coordinator

Location:Cambridge MA

Contract length:3 mo

Schedule:11:00 AM – 7:00 PM, Monday – Thursday, 9:00 AM – 5:00 PM, Friday (In between semesters, the hours are 9:00 – 5:00 Monday – Friday)

Pay:$30-35 per hour W2

Administrative Coordinator Qualifications:

  • • Strong written and verbal communication skills
  • • Comfort with Microsoft Office suite of products (Word, Excel, Outlook), Google Suite of applications (Docs, Sheets, Slides) and web-based applications such as Asana and Sumac
  • • Previous customer service experience
  • • Previous experience working with elementary school students and/or families helpful

Major Areas of Responsibility:

  • Overseeing and supporting students as they engage in learning through the Mentoring program by, for example, assisting with technology use and troubleshooting.
  • Organizing logistics for the mentoring program and youth programing events, including: mentor-mentee matching, schedule management, room/space reservations, supply procurement, communication with program participants, coordination with program participants and internal and external constituents, A/V support, and food ordering.
  • Supervising and guiding undergraduate mentors during mentoring sessions.
  • Implementing administrative systems/procedures to support programs.
  • Providing plant, garden and invertebrate animal care.
  • Overseeing systems for collecting and maintaining program and scholarship applications, event registrations, program databases, and event/program attendance.
  • Managing data related to program/event participation including gathering information from multiple sources to prepare schedule and ad hoc reports that identify trends.
  • Preparing and maintaining programs records to ensure compliance with University requirements and/or government regulations.
  • Oversee a safe and risk-free atmosphere for children, staff and community members.
  • Scheduled responsibility for supporting general Ed Portal operations; including supporting set up and clean-up of programs, answering phones, and managing the front desk.
