About the Role
We are seeking a highly organized and proactiveExecutive Assistantto provide comprehensive support to theVice Presidents of Testing and Subsea (TSS) and Wireline and Perforating (WP). This role enables both leaders — and their leadership teams — to operate efficiently and effectively across a fast-paced, global organization.
The ideal candidate exercises excellent judgment, manages sensitive information with absolute confidentiality, anticipates needs, and excels at coordinating complex priorities across multiple stakeholders and time zones.
Key Responsibilities
- Provide comprehensive executive support, including
- calendar management, travel coordination (domestic and international) , meeting logistics, and
- expense reporting (Concur) .
- Serve as the primary point of contact between the Vice President and internal/external stakeholders, ensuring timely, accurate, and professional communication.
- Prepare and organizemeeting materials, reports, presentations, and executive briefswith accuracy and attention to detail.
- Manage correspondence and communications, ensuring clarity, tone consistency, and confidentiality.
- Anticipate needs by proactively identifying upcoming priorities, meetings, and deadlines.
- Coordinate leadership meetings and events, including agenda setting, pre-reads, and follow-up action tracking.
- Maintain strict confidentiality of sensitive information at all times.
- Apply knowledge of company policies and procedures to support decision-making and communication on behalf of the VP.
- Build and maintain strong relationships across executive, functional, and regional teams to ensure seamless information flow and collaboration.
Qualifications
- 7–8 years of progressive administrative experience, including 2+ years supporting senior executives; experience in the energy or technology sector preferred.
- Proficiency inMicrosoft Office Suite (Outlook, Word, PowerPoint, Excel, Teams, SharePoint) and SAP/Concur Travel & Expense systems.
- Excellent written and verbal communication skills, with the ability to communicate professionally across all organizational levels.
- Demonstrated strength in planning, prioritization, and time management, with proven ability to manage multiple complex tasks.
- Highly detail-oriented and organized, with strong follow-through and ability to adapt to shifting priorities.
- Professional presence and ability to exercise discretion, judgment, and confidentiality in all interactions.
