Position Overview
As an Executive Secretary, you will be part of our Labor Relations team in a fast-paced environment at one of the largest state agencies in Illinois. Essential Functions
- Serves as an administrative secretary for the Chief of Labor Relations.
- Maintains automated system on all employee grievances, confidentiality and the dissemination of information on grievance matters within and outside the Agency.
- Composes, keyboards, edits and files various types of correspondence.
- Serves as a liaison for the Labor Relations Office.
- Serves as a travel coordinator for the Labor Relations Office.
- Serves as timekeeper for the Labor Relations Office.
Minimum Qualifications
- Requires knowledge, skill, and mental development equivalent to completion of two (2) years of secretarial or business college and two (2) years of secretarial experience; or completion of high school and four (4) years of secretarial experience.
- Requires ability to type accurately at 55 wpm.
Preferred Qualifications
- Prefers at least two (2) years of experience utilizing manual and automated office equipment.
- Prefers at least (2) years of experience figuring arithmetic computations.
- Prefers at least two (2) years of experience writing memos or other documents and ensuring proper grammar, spelling and punctuation.
- Prefers at least two (2) years of experience utilizing Microsoft Office, such as Word, Outlook, and Excel, or similar software.
- Prefers at least one (1) year of experience providing verbal and written correspondence.
- Prefers at least two (2) years of experience in an office setting multi-tasking, analyzing, and meeting deadlines.
- Prefers at least one (1) year of experience working independently in an office setting for multiple people.
- Prefers at least (2) years of experience in an office setting working with and maintaining confidential and personal information.
Conditions of Employment
- Requires ability to pass the IDOC/IDJJ background check.
- Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of the position held is prohibited.
- Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.
