NAMI Tennessee– What started as a small group of families gathered around a kitchen table in 1979 has blossomed into the nation’s leading voice on mental health. NAMI Tennessee is one of 50 State Organizations of NAMI, The National Alliance on Mental Illness, the nation’s largest grassroots mental health organization dedicated to building better lives for the millions of Americans affected by mental illness.
NAMI Tennessee is a recently realigned organization serving the state of Tennessee and our 18 local NAMI Affiliates. Together with new leadership and an inspired staff and volunteer leadership, we are poised for community expansion.
Position Description:
The Part-Time Executive Director will play a key leadership role in supporting the operational and administrative effectiveness of NAMI Sumner and Wilson Counties. This position is responsible for coordinating systems, optimizing internal processes, and ensuring smooth day-to-day office functionality. The Executive Director is highly organized, technology savvy, detail-oriented, and committed to delivering exceptional internal and external service across the organization.
They work cross functionally to maintain efficient administrative, financial and communication systems that support staff, board members, vendors, donors, and grassroots leaders. Job ResponsibilitiesEssential Duties and Responsibilities
Lead and implement improvements to daily operations, increasing efficiency, productivity, and accountability.Manage and maintain key systems, including CRM and donor databases, digital records, and cloud-based administrative tools.Ensure timely and accurate invoicing to grantors, vendors, and partner organizations.Oversee compliance with organizational policies, nonprofit regulations, and workplace safety standards.Coordinate and track contracts, MOUs, and service agreements with vendors and partners.Manage inventory, office equipment, supplies, and vendor relationships.Partner with the Treasurer of the Board to support fiscal operations: review reports, reconcile accounts, and monitor daily financial activity.Administer onboarding and offboarding processes for new hires; assist with recruitment coordination.Maintain and update staff scheduling and ensure payroll and expense reports are submitted and approved on time.Provide administrative support to the Board of Directors, including scheduling, recordkeeping, and communication.Serve as a point of contact for NAMI Tennessee, vendors, and donors, responding to inquiries and addressing concerns professionally and promptly.Collaborate with Board members on special projects, events, and organizational development initiatives.Monitor digital workflows and maintain clear digital filing and communications systems.Promote a culture of teamwork, accountability, service, and ongoing improvement.Attend Board meetings to report on day-to-day activities and updates.QualificationsPosition Requirements
Proven experience in office management, operations, or administrative leadership (nonprofit experience preferred).Familiarity with or willingness to learn about mental health services and peer/family support models.Strong verbal and written communication skills; confident in professional correspondence and relationship-building.Demonstrated ability to manage multiple priorities and meet deadlines with accuracy.Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams); experience with cloud-based platforms (e.g., Google Workspace, OneDrive).Experience working with donor databases (e.g., Little Green Light), CRM tools, and accounting software (QuickBooks preferred).Ability to work collaboratively with internal teams and external partners.Experience supporting a Board of Directors or executive leadership (preferred but not required).Experience or interest in fundraising, donor stewardship, or event coordination is a plus.Strong organizational, problem-solving, and critical thinking skills.Commitment to equity, inclusion, and improving systems for individuals and families impacted by mental illness.Judgement and Decision-Making
This position requires independent judgment and the ability to take initiative while aligning with NAMI Tennessee’s mission and goals. The Executive Director works within broadly defined guidelines and is accountable for achieving operational excellence and ensuring organizational integrity.
