Job Summary

Reports To:Chief Development Officer

Purpose:The Development Administrator provides essential administrative and operational support to the Development Department, ensuring accuracy, organization, and efficiency across fundraising activities. This role manages donor data and acknowledgments, assists with financial reconciliation and budget tracking, supports Board administration, and oversees the agency’s grants calendar and database. The Development Administrator plays a vital role in maintaining the systems that enable SAC’s fundraising success and organizational excellence.

Job Type:Part-time, hourly position. 20 hours per week. Hourly rate of $22.00/hour.

Job Responsibilities

Major Duties Include:

Department Administration & Data Management

  • Prepare and track expense requisitions and invoices related to all development operations.
  • Monitor and maintain the department expense budget, tracking monthly and year-to-date totals.
  • Conduct monthly reconciliations between SAC’s CRM and QuickBooks in collaboration with the Finance Department.

Board Administration

  • Serve as administrative support to the Board of Directors in collaboration with the CEO.
  • Prepare and distribute meeting materials, agendas, and packets in advance of Board and committee meetings.
  • Coordinate meeting logistics including scheduling, ordering food, arranging meeting spaces, and sending calendar invitations.
  • Record, draft, and distribute accurate meeting minutes and maintain official Board records.
  • Support communication between staff and Board members to ensure timely updates and clear information flow.

Grants Administration

  • Maintain SAC’s comprehensive grants calendar, tracking all proposal, report, and renewal deadlines.
  • Input and regularly update grant information in Instrumentl, including due dates, cultivation steps, login credentials, and submission details.
  • Provide bi-monthly updates to the Development team regarding upcoming deadlines and progress on submissions.
  • Collaborate with the Chief Development Officer and Development Operations & Grants Administrator to ensure smooth coordination and timely submission of materials.
  • Maintain digital records of all grant-related correspondence, documentation, and reports.

Departmental Support

Coordinate ordering of branded development materials such as business cards, brochures, signage, and premiums.
  • Assist with general Development Department operations and logistics as needed.
  • Support special projects and donor stewardship efforts to advance SAC’s mission.
  • Serve as a collaborative and flexible team member contributing to a positive, mission-driven work environment.
Qualifications

Qualifications:

  • Bachelor’s degree in business administration, nonprofit management, communications, or related field; equivalent experience may be considered.
  • 2–3 years of administrative experience, preferably in a nonprofit or development setting.
  • Strong organizational skills and attention to detail with the ability to manage multiple projects and deadlines.
  • Familiarity with CRM systems and donor databases (e.g., Network for Good), QuickBooks, and Excel preferred.
  • Excellent written and verbal communication skills.
  • Discretion, professionalism, and ability to handle confidential donor and financial information.
  • Positive, proactive, and solutions-oriented attitude with strong collaboration skills.
