COMMUNITY
The makeup of our community determines a large part of what it is like to live and work here. We have about 100 people who live on-site year-round, consisting of full-time staff and families, and Professional Semester students. Camp Eagle is a beautiful place with many natural resources but calls for a somewhat remote living.
JOB DESCRIPTION
Title: Program Registrar
Department: Programs
Reports To: Director of Administration
Start Date: May 15, 2022
JOB PURPOSE
To fulfill our mission by working on a team that coordinates all aspects of summer and nonsummer rental groups (schools, churches, businesses, conferences, weddings, etc.) and events under the direction of the Director of Administration.
Overall Responsibility
Maintains a personal relationship with Jesus Christ, is a consistent witness for Jesus Christ, and maintains a courteous, Christ-like attitude in dealing with the internal and external customers of the Camp Eagle Family of Camps.
Complete all administrative tasks for the office at Camp Eagle such as, but not limited to answering phone calls, relaying messages to various departments, ordering office supplies, inventory, and disbursement of wristbands, nametags, staff shirts, etc.
Complete all administrative tasks for all groups such as: collecting and verifying Certificates of Insurance, Sending CPP training for leaders/sponsors and background checks, creating check requests for group camp performers, following up on completed health history forms and waivers, billing and collecting deposits and payments, preparing and receiving contracts and deposit forms, schedules, locating and returning lost and found to guests after departure, etc.
Communicate with group leaders and parents through email, phone call, and in-person regarding all questions and concerns regarding registration for Camp Eagle programs and or events.
Complete all administrative tasks for individual camps such as entering scholarship information, sending parent emails during the year about upcoming events or summer changes, setting up registration workflows, attending summer check-ins, completing waiver and health history forms, locating and returning lost and found to guests after departure.
Ability to create logistics sheets with all required details of groups’ needs for internal use during Retreat season and summer months.
Communicate with Shared Services regarding IT issues for registration for all programs.
Assist in the hiring and training of summer office assistants for group camp and individual camp including sending out parent emails weekly, answering the phone, taking messages, distributing mail, being present for the opening and closing day to work out any salesforce issues, assisting with answering parents questions, completing forms, and collecting payments.
Create, adjust and be familiar with Salesforce to create and manage opportunities, accounts, payments, and contracts as necessary.
Make housing, and reservations for all seasons, staff, guests, programs, and events.
Communicate internal needs to necessary staff, including preparing all hosts and managers for their groups.
Work closely with the Director of Administration to assist in preparing for staff events, directors' meetings, and taking notation of what happens in staff meetings, scanning invoices, bills, reimbursements, and department mail, regularly assisting in cash counts and bank deposits.
Proficient in point of sale system, run reports, be able to complete returns, order products for the Nest, assist in training new staff on retail and cash policies and procedures, occasionally work retail shifts, assist with quarterly and year-end inventory of all goods in the Nest.
Willingness to learn new skills.
Ability to be flexible with time-off and new policies.
Ability to work with groups of all sizes during all seasons.
Form authentic relationships with group sponsors and leaders, teachers, future guests, and staff (full-time, summer staff, and guides).
Occasionally run activities, facilitate group development sessions, prepare meals or clean meals as needed, and as trained when others are not scheduled or your help is needed.
Aid in the purchasing of necessary equipment and material for the success of programs.
Take lead in the event and opportunity creation for all programs and the follow-through on registration for all programs.
Assist in All Camp cleaning.
Assist the Program Directors with efficient projects or whatever else is required.
Other Duties of ALL Camp Eagle Staff
Camp Eagle operates year-round. We have guests on the premises almost every day of the year. Serving guests is our number one priority, and therefore ALL staff must participate in guest service in some capacity. Tasks may include cooking, cleaning, facilitating group activities, running retail locations, general maintenance of the camp property, and work projects as needed. There are often groups here on weekends, and all staff members will be required to work certain weekends as needed.
Character, Education, Abilities, Skills, Experience
The “ideal” candidate will have:
A vibrant relationship with Jesus Christ and a commitment to scripture and will continue to pursue that further.
Strong sense of hospitality and customer service.
High degree of comfortability with phone calls and emails and guest interaction and public speaking.
College Degree or higher is preferred.
Ability to use technological systems at Camp proficiently.
Proficiency in the use of spreadsheets.
Experience with Salesforce.
Ability to work long hours.
Ability to confront, encourage, and inspire staff towards excellence in their work.
Easily communicates with guests in a professional and friendly manner verbally and in writing.
Strong administrative and organizational skills.
Experience with event planning or the equivalent is highly desired.
High level of managing details for up to 15 events at one time.
Ability to manage, delegate and respond to situations in a Christ-centered way.
Ability to problem solve and be flexible and adaptable with the changing and developing needs of guests and handle the resulting actions with speed and kindness.
Work Context
This job will be performed primarily on location at Camp Eagle, Texas location.
Travel
Occasional travel to help with recruiting, marketing, or training.
Physical Demands
Ability to lift 60 lbs, sit in the office, hike, stand all day, be willing to get your hands dirty.
Work Environment
Most work will be done in the office, at a desk. Occasionally may be asked to help with all-camp projects, including working in inclement weather conditions throughout the year.
Training
Employees will be given opportunities for improvement through appropriate training.
Compensation
Salary, on-site housing, medical insurance, 401(k) retirement package after one year, and paid vacation time. See HR and/or potential supervisor for details.
